My Evolved GTD Weekly Review Process

I’ve been refining my GTD process, and with the insights from my personal coaching session with Arjan Broere, here’s the evolved new weekly review checklist that I’ve been practicing for the last six months:

Weekly Review

Caution: Focus more on looking forward rather than just cleaning up

• Assign not only roles but also a Desired Outcome or Next Action to your schedule, making it clearer what you’re going to do.
• Stay in decision-making mode during the Weekly Review.
• Do real maintenance first during the Weekly Review, then move on to smaller tasks.

Get clear

• 📥 Empty physical inbox (including wallet and bag)
• 🦟 Check for non-spam in spam folders.
• 📄 Empty the Digital inbox.
• 📧 Check the HEY feed.
• 📨 Empty email inboxes.
• 🖥 Organize desk, create a new week note in Boox and export to digital inbox.
• 📱 Check Messages, Telegram, WhatsApp for missed conversations.
• 🌀 Perform a Mind Sweep using the Triggerlist.
• 📷 Review Photos and delete unwanted photos.
• 👨‍👨‍👧‍👧 Have you been in contact with People and checked the Mood index?

Example:

• Increase punctuality in day start
• Better handover of support

• 🕔 Is there friction in items from “Waiting For” in Things.
• 🦉 MoneyBird: process incoming documents and then update the bank.
• 🏦 Check the “administration” tag in Things.
• 📊 Update all balances in Excel sheet.
• 🏋🏻‍♀️ Choose a bootcamp class.
• 👴👵 When to visit parents in the morning?
• 📆 Update the Stekker calendar to ensure all appointments are visible
• 📅 Look at the previous and next week’s calendar.
• 🏖 Look at Anytime in Things.
• ⏩ Mark tasks with “Prio” label in Things.
• 🏌️‍♀️ Look at “Upcoming” in Things.
• ✅ Check the project list.
  • Ensure everything is on track (project on cruise control).
  • Ensure each project has a next action and a desired outcome.
• 🤘 Determine which roles and projects need attention this week.

  • Schedule them in the calendar with Desired Outcome.
  • Do I see friction in the roles I want to do vs. the ones I have done?

• ✍️ Log this week’s events at Stekker in journal.

  Get Creative

• 🕵️‍♂️ Review the Someday/maybe list.
• 🎯 Improve the Journal/Daily start template.
• 🙅‍♀️ Identify the main obstacle for Stekker that limits progress.
